Recruiters spend a big part of their day sending emails — whether it’s sharing CVs with clients, updating candidates, or sending out interview information.

Email integration in Placement Partner helps simplify that process by allowing you to send emails directly from the system. Once it’s set up, you can manage candidate communication, send CVs, and keep track of interactions without needing to jump between different tools.

It’s a small setup that can make a big difference to your daily workflow.

GETTING YOUR EMAIL SET UP

Before you can use the email features, your email account needs to be connected to Placement Partner.

This usually just means getting a few email settings from your IT team or whoever manages your company email accounts.

If your company uses Office365, we’ve created a help guide you can download that walks through the setup step by step.

Once the integration is in place, you’ll be able to start using the email tools built into the system.

Not sure where to start? The easiest place to look is the Placement Partner Help Menu inside the system.

Our Help Menu contains step-by-step guides for many features, including email integration. You’ll find articles that explain the information needed for setup, as well as guides for different email providers.

Send CVs to Clients Without Leaving the System

One of the biggest day-to-day benefits is being able to send CVs to clients directly from Placement Partner.

Instead of downloading CVs, opening your email, attaching documents and then sending them off, you can do it all from inside the system.

If you’ve shortlisted a few strong candidates, you can also send multiple CVs to a client at the same time, which makes sharing a shortlist quick and simple.

Email Your Shortlisted Candidates in Bulk

Sometimes you need to send the same message to several candidates. Maybe you’re sharing an assessment link, sending an update about the process, or letting candidates know the outcome of an application.

Instead of sending emails one by one, you can email candidates directly from your shortlist in bulk.

It’s a small feature, but it can save a surprising amount of time.

Keep Track of Your Communication

Another really useful part of email integration is that your emails are automatically captured in the system.

This means your communication history is linked to the candidate or job you’re working on, so you and your team can easily see what has already been sent and when.

It helps keep everything organised and avoids the “Did someone already send this?” moment.

Use Templates for Common Emails

If there are emails you send regularly, you can create email templates in Placement Partner.

Things like:

– Interview confirmations

– Assessment invitations

– Candidate submissions

– Regret letters

Once the template is created, you can simply select it and send the email without having to type the same message again and again.

A Few Other Benefits Recruiters Like

Once clients start using email integration, a few other nice benefits usually pop up:

– Less switching between different systems

– Faster CV submissions to clients

– Easier communication with multiple candidates

– A clear record of emails sent from the system

– More consistency when using templates

A Small Setup That Makes a Big Difference

The setup does require a few details from your IT team, but once it’s done, most recruiters find it quickly becomes part of their normal workflow.

If you’re sending emails every day (and let’s be honest, most recruiters are), being able to do it directly from Placement Partner just helps keep things a little simpler.
